TOUR PRICE INCLUDES

2. Japanese 3-star hotels – standard 2 adults per room; children share bed with parents.

• Note: Japanese hotels have limited double-bed and triple rooms.

8. In case guests purchase land tour only and their flight schedule does not match the group flight schedule: guests are responsible for arranging their own transfer to join the group on arrival day and self-arranged transfer to the airport on departure day.

PAYMENT PROCEDURE

• Please make a deposit of 50% of the tour price to secure your booking.
• Customers are required to complete the registration form and submit visa application documents at least 30 days prior to the departure date.
• Full payment must be completed at least 10 days before departure (excluding Saturdays, Sundays, public holidays, and Lunar New Year). In case the Embassy/Consulate refuses to issue a visa after full payment has been made, the Company will refund the tour amount in accordance with regulations.
• In case the visa application is denied: a non-refundable fee of VND 3,000,000 per guest will be applied.
• For guests who are exempt from visa requirements or already hold a valid visa, the Company will deduct VND 500,000 per guest.
• If guests are denied exit from Vietnam or entry to the destination country: guests will bear 100% of the total tour cost (no refund).
• In cases where guests provide false or inaccurate information (such as previous Japanese visa refusal, illegal residence, overstaying, legal violations in Japan, inability to answer Embassy/Consulate interviews, missed Embassy/Consulate calls, etc.) resulting in visa refusal, guests are still required to pay the visa processing service fee of VND 3,000,000 per guest.
• If by the departure date the visa result is still pending, guests may choose to change the departure date and pay any applicable airfare and land tour change fees (if any).
• For group or family bookings (from 2 guests or more), if one member fails to obtain a visa and cancels the tour, that guest will be charged a visa fee of VND 3,000,000; other members who have already obtained visas and cancel the tour will be subject to the general cancellation policy.
• The Company will provide guidance on visa procedures, application forms, and submission schedules. Guests are required to submit complete and accurate documents as requested by the visa department to ensure a smooth visa application process.

TOUR CANCELLATION POLICY

• Cancellation immediately after registration: penalty fee = 85% of the deposit.
• Cancellation 14 days prior to departure: penalty fee = 75% of the total tour price.
• After the above period: penalty fee = 100% of the total tour price.
• Cancellation time is calculated based on working days only, excluding Saturdays, Sundays, and public holidays.
• In case of cancellation after the visa has been issued, the Company will notify the Embassy/Consulate to cancel the visa before returning the passport to the guest.
• For tour cancellation, guests are required to present the payment receipt and ID card/Citizen ID at the Company’s office to complete the cancellation procedure. Cancellations via phone call will not be accepted.
• Promotional-priced tours are non-changeable and non-reschedulable.
• The above cancellation policy does not apply to public holiday and Tet tours.

TOUR RESCHEDULING POLICY

• More than 45 days prior to departure: rescheduling fee (free) + service penalty fee (visa cancellation fee, if any).
• 30 days prior to departure: rescheduling fee = 30% of the total tour price + service penalty fee (visa cancellation fee, if any).
• 21 days prior to departure: rescheduling fee = 50% of the total tour price + service penalty fee (visa cancellation fee, if any).
• Less than 21 days prior to departure: rescheduling is not permitted.
• Rescheduling policy (changing from one tour to another) applies only to tours with confirmed departure schedules operated by the Company.
• Each booking is allowed to reschedule only once.
• Rescheduling time is calculated based on working days only. Rescheduling is not applicable on Saturdays, Sundays, public holidays, and Tet holidays.
• Rescheduling policy does not apply to public holiday and Tet tours.

Rescheduling policy does not apply to group bookings of 05 (five) guests or more.

IMPORTANT TOUR INFORMATION

2. This is a package tour combined with shopping activities. Guests are not allowed to separate from the group. Unused services are non-refundable. Any additional expenses incurred shall be borne by the guest.

3. Guests using a Japanese entry visa obtained independently (not through the tour-operating travel company) are responsible for ensuring its validity for entry. The Company shall not be liable for any refusal of entry or refund of tour fees and related expenses.

4. Guests must be present at Tan Son Nhat International Airport at least 3 hours before departure time. Guests arriving late after check-in counters are closed will bear full cancellation charges as same-day cancellation.

5. Sightseeing itineraries may be adjusted depending on actual local conditions. Seasonal attractions such as Cherry Blossom Season or Autumn Foliage may vary depending on weather conditions and may bloom early or be less vibrant without prior notice.

6. Passports must be valid for at least 07 months from the tour end date, contain all required signatures and official stamps, and be in good condition. Even if still valid, damaged or unclear passport photos may result in denial of exit or entry.

7. Foreign passport holders must bring a valid Vietnam re-entry visa (if required) and other necessary documents when registering and traveling. Guests applying for a re-entry visa must bring two 4×6 white-background photos on departure day.

8. Guests holding only a foreign residence card (green card) and an expired Vietnamese passport are not permitted to travel to a third country.

9. Flight schedules are subject to airline regulations and may change without prior notice. The Company reserves the right to change airlines at the last minute due to airline operations or weather conditions.

10. The Company shall not be responsible for missed sightseeing spots due to unexpected closures, traffic congestion, or guests exceeding allotted visiting times.

11. Children under 18 must travel with parents or authorized guardians with proper authorization. Children under 11 share a bed with parents. Each family may accompany only one child; the second child is charged the adult tour price.

12. In case one adult travels with one child (under 11), the child must pay for a separate bed. Birth certificates are required. If the child does not travel with parents, a notarized authorization letter is required.

13. The Company shall not be responsible if guests violate immigration regulations or are denied entry by local authorities. Tour fees are non-refundable, and any additional costs such as return airfare shall be borne by the guest. Guests must ensure completion of personal tax obligations prior to departure.

14. Guests who have undergone cosmetic surgery (eyelids, jawline, nose, lips, etc.) must renew their passport after surgery. Using an old passport may result in denial of entry/exit, with guests bearing 100% cancellation and related costs.

15. As this is a group tour, a minimum of 15 adult guests is required. If the minimum is not met, the Company will notify guests at least 10 days prior and offer an alternative departure date or full refund.

16. For guests purchasing land-only services, the Company does not recommend booking flights independently before confirmation. The Company is not responsible for any losses if the tour does not depart.

17. The Company shall not be liable for force majeure events such as natural disasters, security incidents, strikes, or airline operational issues. In such cases, itinerary adjustments may be made for safety, or partial refunds will be considered after deducting incurred costs.

18. No additional compensation shall be provided beyond the refundable portion (if any).

19. Fuel surcharges may increase without prior notice at the time of ticket issuance. Official airline notices will be provided, and price adjustments may apply accordingly.

20. Guests under 6 weeks old or over 85 years old must arrange their own insurance. Guests over 85 must confirm good health and assume full responsibility.

21. Guests aged 70 and above must provide a medical fitness certificate and health commitment letter. Elderly guests must be accompanied by a healthy relative under 60 years old. Guests with serious medical conditions are not accepted.

22. Pregnant guests must inform sales staff in advance. Guests over 5 months pregnant are not accepted for safety reasons. Any incidents occurring during the tour are not the Company’s responsibility.

23. In case of suspected or confirmed Covid-19 infection or accidents during the tour, guests must cooperate with local authorities and medical services. Insurance claims will be handled directly with the insurance company according to coverage terms. The Company provides support but does not cover medical expenses.

24. Due to group visa regulations, the tour guide will hold all original passports of guests throughout the trip.
